Association Board Meeting -- Minutes
September 13, 2006
The meeting was held at the home of Trixie Johnson.
Board Members Present: Fanjoy, Johnson, Jones, Livezey, Murchan
Board Members Absent: Hsieh (excused)
The meeting was called to order at 7:40 p.m. by President Bob Fanjoy.

Minutes
- Minutes of August 9 Board meetings were approved with 5 changes.
Treasurer’s Report
- Balance on August 31: $1,412.54.
- Added 2 new members and 3 renewal members in July. Mark Burns’ double payment was credited to 2007.
- Expenses since inception total $1,009.55
- Approved expenses for thank-you gift cards of $5 each for nominating committee volunteers.
Old Business
Nominating Committee
- Charles reported all positions had a nominee except recording secretary. The committee tried to contact every member for suggestions.
- Nominees are: President – Larry Murchan, First VP - Charles Jones, Second VP – George Zhu, Corresponding Secretary – Cathy Draper, Parliamentarian – Doris Livezey.
- There is no nominee for Recording Secretary. The ballot flyer will try to recruit a volunteer, or there could be a nomination from the floor at the meeting. If no one is elected, the Board can appoint until the next election.
- Trixie will send a copy of the ballot flyer to Sigi for posting.
Ballot Flyer
- Trixie has the flyer complete except for one missing bio (Zhu).
- Charles will provide the bio in a day or two.
- Larry will buy paper and handle the printing.
- Trixie will get it to the distributors this weekend.
Newsletter Plans
- Trixie has a story from Doris for the daffodil planting and a section with the emails reporting on the results of the tulip tree pilot project.
- There is a space held for a story on the trail landscape maintenance issue. Bob will do a story.
- Meeting announcement – time place, election, , open forum for next year’s agenda, Ralph Mize.
- Message about distributors from Trixie.
- Production: TJ will e-mail it to Bob for completion. Printing will be handled by Larry. Distribution will be handled by Doris the weekend of October 14.
October 25 Election and Meeting Plans
- Have tickets for voting member of the member household and paper for ballot, if required.
- Jenny should have the latest membership list and the tickets available as people enter the room.
- Have committee members available to count ballots, if paper ballot is needed.
- Larry will check on the tickets.
- Before the next Board meeting Charles will work out a plan for voting if there are multiple nominees.
- Start at 7 with social time. Meeting at 7:15. Election 7:20. Open Forum start about 7:45. Ralph Mize at 8:30, or sooner.
- Have idea cards available for turning in any suggestions or concerns that are not discussed during the open forum.
Tulip Tree Pilot Treatment Program
- Bob referenced the email exchange.
- City has secured more funding and will do again in the early spring when it is a better time for the treatment.
- Will try to do those on the waiting list first.
- Larry brought up the possibility of the association helping with payment or assistance to help neighbors afford treatment if not in the city program.
- Bob mentioned the systemic treatment, which has worked in drier years.
- Doris suggested that some trees are dead, and Mize should be informed about those. They should be removed this fall so that the new trees would have the best planting time.
- This is really a wait and see situation.
- Post this information on the website. Sigi is leaving at some point; Trixie will find out if she is available and about remote posting for this and for the nominations.
Flyer Distribution
- Doug explained the Excel chart of map numbers and distributors. The names on the list are from Steve plus those identified as "block" on the membership list. There are many more than needed, so we should have good coverage and backup.
- Doris will assist Trixie in getting contact information for all. Those with missing information who are on the email blast list will be asked to call Trixie with their remaining information. The email blast should also make a pitch for recording secretary volunteers.
- 18 maps of about 50 homes each.
- Trixie will contact as many as possible and set up for distribution of both the ballot flyer and the newsletter.
- No delivery to 1447 Kimberley (?). This may not be the right number. Charles knows the house; it is in his distribution area.
Trail Maintenance Issues
- Looks bad and weedy.
- Doris has called code enforcement, parks, trails coordinator. Bob has also been contacting trails coordinator.
- No response for 3 weeks.
- Who is responsible? Parks Department seems to be, but even they don't seem sure.
- Wait this week, and then escalate to Linda’s office. Doris and Bob will follow up with digital photos to Linda and Todd.
- Bob has asked for more detail on what people said who gave the trail project a poor rating in the city survey.
