Association Board Meeting -- Minutes
January 10, 2007 -- DRAFT
The meeting was called to order at 7:40p by President Larry Murchan at the home of Gabe Trejo.
Board members present: George Zhu, Cathy Draper, Charles "Chappie" Jones, Larry Murchan, Doris Livezey, and Gabe Trejo
Excused: Jenny Hsieh
Others attending: Sigi Illes
Note: The general meeting for Quarter 1 will be held on February 28th @ 7:30p
Welcome
- This meeting will outline the year and hopefully we'll have involvement from non board members
- Agenda Review & Approval
- M/S/P include membership renewal drive in agenda
- M/S/P Minutes from 12/12/06 board meeting
Treasurer's Report
- Larry gave a brief treasurer's report in light of Jenny's absence
- Balance as of 1/10/07 is: $1592.54
- 2007 Membership is the same: 19 Members -- 7 new and 12 renewed
- Larry received bank statement from Trixie Johnson who will continue to be the addressee from WaMu unless and until the board decides to select a different recipient. Larry will deliver the statement to our Treasurer, Jenny Hsieh.
Old Business
- Committee Organization for '07
- Larry: identify what should be addressed in each committee, then we can divvy up the accountability for each committee and find volunteers to take lead positions within
- Service Committee - undertaken by Chappie and Larry
- Leveraged neighborhood service purchasing -- Chappie
- Dumpster Day -- Larry
- Put request in with the city for another Dumpster Day
- Neighborhood Makeover Services-- Larry
- Youth Volunteer Services -- Gabe
- Establish contact with District One Youth Advisory Council and involve them in our projects
- Spaces Committee -- undertaken by Doris
- Trail maintenance -- ask Bob Fanjoy if he'd like to take lead
- Tulip trees -- Doris
- Cathy: this is a top priority in the neighborhood; everyone should know what their responsibility is and what options they have. This can be communicated by newsletter and the first general meeting
- Larry: the website might include a tulip tree section
- Doris: unite other neighborhoods in San Jose West for a stronger planting effort (did I capture this right?)
- Doris please draft a general outline of the tulip tree situation including: the program in February, responsibilities, options, etc.
- Note: Doris will be unavailable Jan. 18-20 and Feb.9-20 (is this correct?)
- Park lawn -- Doris & George
- Doris has already made signs and has asked to rope off the area, currently waiting on response
- Investigate realistic expectations of time it takes the grass to recuperate
- Safety Committee -- OPEN
- Traffic -- ask Judy Boehm if she'd like to take lead
- Vandalism -- OPEN
- Doris: there could be an article in the Lynbrook Epic regarding toilet papering and its effects in our neighborhood
- Neighborhood watch -- Larry
- Solidify current watch groups and recruit new groups
- Use this as a method to pool the neighbors together for active involvement
- Social committee
- Movie in the park -- ask Mori if she'd like to take lead
- Secure method of movie projection at Murdock
- Summer picnics -- Larry
- Chappie offered to be a barista if we can get him electricity
- Murdock portal event -- OPEN
- This role would be ideal for a M-P parent in our neighborhood

- Prioritization of Activities for '07
- Top priorities include: tulip trees and organization of committees
- Larry requested that each activity owner assess the feasibility of that item and report back at the next board meeting. Priorities and commitments will be finalized at that time.

- If Pete Constant is in attendance he might have a few words to say
- Reminder for clearing stagnant water in a timely manner to help prevent West Nile Virus
- Ed Lo would like a few minutes to talk about the community center at Rainbow Park

- Cathy: City maintenance issues recycling machine put a hole on the street where the water pools
- Doris: We can take a walk in our areas to spot damage and compile a report for they city
- Larry: Another keynote speaker, Trixie suggested a PG&E representative that will cover power outages in our area
- Cathy: The speaker can also give energy saving tips
- Outreach to remind members to renew and recruit new members
- Larry will draft the flyer
- List benefits and services of a neighborhood association in general
- This could be distributed in person to be more effective
- Describe renewal process w/ applications
- Be sure to collect email address or phone number for member database
- Detail the types of services we provide with member funds

- Design overall system and create a 'job description' for individual roles
- Solidify volunteer list for runners
- Seek paper/printing donations to minimize costs
- Get contact information for members in some sort of database
- Newsletter reminder for the next general meeting
- include membership reminder and possible tulip tree update
